Collecting patient payments

You’ll find it simple to receive copays, coinsurance, and any other types of advance payments from your patients. To collect a payment, head straight to the Create button:

If initiating your action while inside a patient’s chart, lookup will open with the patient already located, ready for you to select and proceed:

Having the client payments feature enabled will allow you to charge a credit card on the spot:

The patient’s current balance at the top is clickable, providing immediate access to past transactions:

This view of transactions, called patient funds, is also possible to get to from the patient chart’s “Payers” tab:

Patient payment receipts

Receipts are trivial to produce for payment records inside the patient’s funds window:

And you can easily edit a payment if needed:

Your clients using the patient portal will have convenient access to their payment receipts via the portal.

Patient refunds

The refund button at the bottom of the patient funds window will let you record a refund transaction instantly:

Applying patient payments to bills

When recording a patient’s bill payment, you’ll see right away how much the patient has in available funds:

To apply patient’s funds to the bill, simply press on the amount to choose the appropriate option:

When chosen, the amount will be highlighted, indicating that the payment will draw from available funds:

Posting remittances is another place where you could draw from available funds if transferring the patient’s responsibility amount to self-pay:

Credit cards on file

Enabling the client payments add-on will allow you to manage patient credit cards by accessing the respective patient’s self-pay payer in their chart’s “Payers” tab:

No frequency requirement for IL EI

In a significant update for IL EI users, maintaining frequency will no longer be necessary. It will be turned off for new episodes. If you want to continue maintaining frequency, go to settings > Services and press “More” next to “Early Intervention - IL”:

If you’d like to have the frequency requirement removed from existing episodes, please submit your request to support.

More powerful visit restrictions

To simplify managing longer-term authorizations, you’ll be offered to split visit restrictions lasting more than 60 days into months or weeks:

Your choice will determine the exact periods, letting you decide for a monthly split whether they should be 30-day periods or calendar months:

Each period will have the same number and duration when establishing visit restrictions, but can be adjusted later if needed.

One more improvement to visit restrictions is being able to select “Any follow-up“ for the activity type. “Any follow-up“ covers therapist and assistant follow-ups, reassessments, and discharges.

Attached “paper” notes can be images

Maximizing flexibility and convenience, therapyBOSS will now accept image files when uploading clinical notes, referral documents and other external documents. They will be converted to PDF automatically, ensuring their portability and compatibility.

Home Care patients

ℹ️ FYI, we’ve added comprehensive support for a new patient type, enabling providers of personal care services, such as Home Health Aide and Homemaker, billed to a state-funded program or privately, to use therapyBOSS as their platform.

Other changes

You may notice fresher styling in some areas achieved by greater color consistency and slight layout changes. This aligns most of the screens with the overall UI theme.

Additional changes include showing payer reference number for remittances, a new “Internal reference ID“ filter for active referrals, and several other usability improvements.
